Workspace settings

Workspace admins open Settings from the account menu and find the Workspace group under their own Account settings. It lists, in order: Setup (only until the workspace can answer; see Setup), General, Members, Access, Security, AI, Integrations, Billing and Audit log. Sources are not here: they live in Knowledge ▸ Sources.

General

General holds the workspace's name and how usage is reported. Edition, status and plan changes are managed by the platform team.

  • Workspace name: how the workspace shows up to teammates and in audit-export file names.
  • Data retention (days): how long a deleted record stays recoverable, from 0 (deleted immediately) to 30. This is not how long conversations are kept.

Select Save changes.

How long your data is kept

  • Conversations and answer logs have no time limit unless a retention window has been set for your workspace. Ask your platform team to set one. Where a window is set and enforced, older conversations are erased nightly.
  • Saved reports and dashboards are kept with no time limit, until someone deletes them. A saved report holds its own copy of the answer, so erasing the conversation it came from does not remove it.

Under Usage attribution, Name individual viewers decides whether usage analytics also show who opened an answer or dashboard, not only how often. While it is off, access counts are stored without the viewer's identity. It is off by default, and turning it on is recorded in the audit log. In the EU this is typically subject to a works council agreement.
